About The Coffee Brigade
The Coffee Brigade is a Brisbane-based charity providing food, drink and connection to people in need every day of the year. With a strong focus on community support, the organisation relies heavily on volunteers to deliver its services and manage its operations.
At the heart of the organisation is a volunteer Board and Treasurer who oversee governance and compliance while supporting the charity’s mission to serve the Brisbane community with care and dignity.
The Challenge
As a volunteer-led charity, The Coffee Brigade faced the ongoing challenge of managing its financial obligations with limited internal resources. While the organisation relied on volunteers for leadership and oversight, it still needed to maintain accurate financial records, pay staff and meet a range of tax and compliance requirements.
Prior to 2021, all financial record keeping was paper based. This made day-to-day bookkeeping time consuming and increased the administrative burden on the Treasurer and Board. Producing annual financial statements, managing payroll and staying on top of tax obligations required significant effort from volunteers whose time was already stretched.
The Coffee Brigade needed a way to modernise its financial management while ensuring obligations were met consistently and accurately without placing additional pressure on its volunteer leadership.

In 2021, The Coffee Brigade partnered with Carbon to implement systems that would support the charity’s day-to-day financial management and long-term governance needs.
Carbon introduced Xero accounting software and implemented structured systems to move the organisation away from paper-based record keeping. This included setting up processes for petty cash management, staff payments, quarterly Business Activity Statement lodgements, superannuation payments and maintaining accurate financial records.

What was once a manual and time-intensive process became streamlined, reliable and easier to manage for everyone involved.
The Outcome
Today, The Coffee Brigade’s financial management runs smoothly and consistently. With Carbon’s support, the Treasurer and Board can focus on higher-level strategic matters, knowing that financial obligations are being met and records are kept up to date.
